Terms of Service

Version 2026-09-13. These terms apply to your use of azedcost during early access.
In short: azedcost is a subscription web application for preparing film and television budgets and, once a production is funded, reporting its costs from the production's own Xero organisation. Your organisation's data is yours; we hold it to run the service and you can export it at any time. During early access, access is granted by invitation and pricing is agreed with you directly.

1. Who we are and what this covers

azedcost is a product of EMJ Services Pty Ltd, ABN 16 626 783 551 ("we", "us"). These terms govern your use of the azedcost application and website ("the Service"). By signing in, requesting access, or using an organisation in the Service you agree to them. If you are using the Service on behalf of a company, you confirm you are authorised to bind it.

2. The Service

The Service lets an organisation prepare budgets in the Screen Australia A–Z format (the budget tier) and, for a funded production, connect a Xero organisation to pull actual costs and produce cost reports, variance, QAPE, funding and cashflow reporting (the production tier). Features, tiers and limits are described on the website and in the application and may change as the Service develops.

3. Early access

The Service is in early access. Signing in with a Google or Microsoft account is a request for access; it does not create an organisation or grant access to any data. We decide which requests to accept, we may limit the number of organisations, budgets or productions during this period, and we may withdraw early access on reasonable notice. Pricing during early access is agreed with you in writing (which includes email) before any fee is charged.

4. Accounts, organisations and roles

You sign in with a Google or Microsoft account; we do not hold a password for you. Access to an organisation's data is by invitation to that organisation, in a role (owner, editor or viewer) set by its owner. An invitation is bound to the email address it was sent to and expires if not accepted. Owners are responsible for who they invite and for the activity of members under their organisation. Use the same sign-in provider each time; signing in another way may create a separate account.

5. Xero

For the production tier you authorise us to connect to a Xero organisation through Xero's API. You warrant that you are entitled to grant that access. We read transactions, contacts, attachments, settings and reports. At your request we also write to that organisation: creating the A–Z chart of accounts and the Shoot and QAPE tracking categories from your locked budget. We do not create, change or delete transactions in Xero. You can revoke the connection at any time from Xero's Connected Apps page; if you do, actuals stop updating and the production keeps the data already pulled. The Xero subscription is yours and is not part of the Service. A Xero organisation may be connected to only one azedcost production at a time.

6. Subscription, fees and payment

Fees are set out in your early-access agreement, or later in the application. Fees are in Australian dollars and include GST unless stated otherwise. Where a subscription lapses, the organisation becomes read-only: existing budgets and productions still open and export, but nothing new can be created or changed until it is renewed. Fees already paid are not refundable except as required by law.

7. Your data

You own the budgets, productions, documents and other content you put into the Service and the data pulled from your Xero organisation on your behalf. You grant us a licence to store, process and display that data as needed to provide the Service to you. You can export budgets and reports at any time. On closing an organisation we delete its data within a reasonable period, subject to backups and our own record-keeping obligations. See the Privacy Policy for detail.

8. What we do not promise

The Service presents figures from your budget and from your Xero organisation. We do not verify the accuracy of those records, and the reports are only as correct as the inputs. The A–Z format is the industry-standard chart used by Australian screen agencies and financiers; the Service is not published or endorsed by Screen Australia, and we make no representation that any report will satisfy a financier, agency, auditor, the ATO or any other party. Nothing in the Service is tax, accounting or legal advice. The Service depends on Xero's API and on third-party providers, and may be interrupted by them.

9. Liability

To the extent permitted by law, our total liability to you in connection with the Service in any twelve-month period is limited to the fees you paid for the Service in that period, and we are not liable for indirect or consequential loss, loss of profit, or loss of data you have not exported or otherwise kept your own copy of. Nothing in these terms excludes rights you have under the Australian Consumer Law that cannot be excluded; where a guarantee applies and can be limited, our liability is limited to supplying the Service again or refunding the fee.

10. Your obligations

You must use the Service lawfully, keep your sign-in account secure, invite only people entitled to see the organisation's data, not attempt to access another organisation's data, and not upload documents you are not entitled to hold. You remain responsible for your own accounting and record-keeping obligations; the Service is a tool to help you meet them.

11. Suspension and termination

We may suspend or close an account or organisation that breaches these terms or that we reasonably believe is being used abusively, and we may refuse or withdraw early access at our discretion. You may close your organisation at any time by asking us. Clause 7 applies to your data on closure.

12. Changes to these terms

We may update these terms. Each version is dated; material changes are announced in the application before they take effect, and continuing to use the Service after that date is acceptance of them.

13. Assignment

We may assign or transfer our rights and obligations under these terms to a related body corporate that carries on the azedcost business, and will tell you if we do. Your obligations and our obligations to you are unchanged by such a transfer.

14. Governing law

These terms are governed by the laws of New South Wales, Australia, and you submit to the non-exclusive jurisdiction of its courts.
